In location fields, you can:
A
Paste a Google Maps linkCopy the URL from the Google Maps browser bar — coordinates are extracted automatically.
B
Enter latitude and longitude manuallyYou can find coordinates on Google Maps by right-clicking on a point → "What's here?".
Google Drive synchronisation is completely optional. When enabled, your trips are saved in a private folder on your Google Drive, accessible only by Plan Trip.
First sign-in
1
Open the cloud actionsDesktop: at the bottom of the navigation bar you'll find the cloud account card and the Data button. Mobile: More menu at the bottom → account section.
2
Click "Sign in with Google Drive"A popup will appear explaining what data will be shared with Google.
3
Click "Accept & sign in"The Google login window opens. Choose your account.
4
Authorise permissionsPlan Trip requests access only to files it has created itself (scope drive.file), not your entire Drive.
5
Smart sync proposalAfter sign-in, the app compares local data with the cloud. If there are differences, a popup shows: trips with cloud updates available (downloadable), trips only stored locally (uploadable to cloud), and how many trips are already synced. If everything is aligned, no popup appears.
Status indicators
In the cloud account card (bottom of the navigation bar on desktop, account section of the "More" menu on mobile) you'll find the sync status:
—
No dotNot connected to Google Drive. Data is local only.
●
Orange dotConnected but not yet synced, or synchronisation in progress.
●
Green dotConnected and successfully synchronised.
Automatic and manual sync
Every data change triggers an automatic synchronisation with a 3-second delay (debounce). If you want to force an immediate save or download, use the manual buttons: on desktop open Data at the bottom of the navigation bar; on mobile open the More menu.
↑
Save to cloudImmediately uploads local data to Google Drive, overwriting any previous cloud data.
↓
Load from cloudCompares cloud data with local data and shows a popup with differences: trips updated on the cloud, local-only trips to upload, and trips already synced. Only downloads trips that have actually changed.
⚠️
Data on Google Drive is visible only to Plan Trip (hidden
appDataFolder). It won't appear in your regular Drive. To revoke access go to
myaccount.google.com/permissions.
You can share a trip by generating a link that anyone can open to import a copy of the trip into their own app. Sharing requires Google Drive sign-in.
How to share a trip
1
Sign in to Google DriveSharing is only available when you are signed in with your Google account.
2
Open the "Share trip" panelDesktop: Share button at the bottom of the navigation bar, or the share icon in the Trips section. Mobile: More menu → Share.
3
Copy the generated linkA modal opens with the link ready. Click Copy link or use the Share button on mobile to send it via your device's apps.
How to import a shared trip
1
Open the received linkClicking the link opens Plan Trip with a preview modal of the shared trip.
2
Click "Import to my trips"The trip is imported as an independent copy — your changes won't affect the original.
💡
The shared file is read-only and accessible to anyone with the link. Importers receive a complete copy with cities, accommodations, days and tips.
⚠️
The share file is saved in the "Plan-Trip" folder in your Google Drive (visible in your regular Drive). This is different from the private folder used for sync.
In addition to read-only sharing via Google Drive, Plan Trip supports real-time collaboration via Firebase. Two or more people can edit the same trip simultaneously, with instant synchronisation of changes.
How to enable collaboration
1
Open the "Share trip" panelDesktop: Share button at the bottom of the navigation bar. Mobile: More menu → Share.
2
Sign in with Google in the Collaboration sectionAt the bottom of the sharing panel, click "Google Sign-In" to authenticate via Firebase.
3
Click "Share for collaboration"The trip is uploaded to Firebase Firestore and becomes accessible to collaborators.
4
Copy the collaboration linkShare the generated link with the people you want to collaborate with.
Adding collaborators
You can add collaborators by entering their email address in the dedicated field. Only added users will be able to access the shared trip.
How editing works
The system uses an optimistic locking mechanism: when a user opens the edit pop-up of a card (city, accommodation, day or tip), they acquire an exclusive lock on that item. Other users will see a banner indicating who is editing and will not be able to edit the same item until it is saved or cancelled.
🔒 Exclusive lock
Only one user at a time can edit each individual card. Others see a notice with the name of who is editing.
⚡ Instant sync
When a user saves, the changes appear immediately on the other collaborators' screens.
⏱️ Automatic timeout
If a user forgets to save, the lock is automatically released after 5 minutes.
☁️ Drive backup
Collaborators' changes are also automatically synced to Google Drive.
Joining a shared trip
When you receive a collaboration link (format ?join=...), clicking it imports the trip into your app and creates a real-time connection. From that moment, every change saved by you or the other collaborators will be visible to everyone.
Stopping collaboration
The trip owner can click "Stop collaboration" in the sharing panel to remove the trip from Firebase and return to local mode.
💡
Real-time collaboration and read-only sharing are two separate features. Sharing via Google Drive creates an independent copy; collaboration via Firebase allows working on the same data.
⚠️
Collaboration requires an active internet connection. If you work offline, changes will not be synced until connectivity is restored.
When you access Plan Trip from a screen smaller than 1024px (smartphone or tablet), the interface automatically switches to a responsive layout, optimised for checking your trip while travelling.
📱
Installable as an app: On Android you can install Plan Trip as an app from the browser (Chrome → menu ⋮ → "Install app" or "Add to Home screen"). The app launches full-screen, without the browser bar.
✏️
Edit on mobile: on smartphones (screens under 768px) the only editable section is Tips: you can add a new tip and edit existing ones. Every other section (days, nights, cities, activities, costs, trips) is read-only. On tablets (768–1023px) full editing is still available.
Navigation with the bottom bar
The navigation menu is the bar at the bottom of the screen, always visible and thumb-friendly, with five main sections:
✨ Overview
Trip summary: countdown, stats, spend breakdown and route.
📅 Days
Planner days grouped by stage.
🛏️ Nights
Accommodations, night calendar and booked stays.
🏙️ Cities
Trip destination cards; tap to open the full city page.
💡 Tips
Reference notes and advice, with sections and images.
"More" menu
The last item of the bottom bar opens a panel from the bottom with the remaining sections — Activities, Costs and Trips — plus the Data actions (download/upload JSON, share) and the cloud account (sign in to Google Drive, save and load from cloud). The panel closes by itself when you pick a section.
Route and stages on smartphones
On phones, the route in the Overview and the stages bar in the Days section no longer scroll horizontally: they become a vertical list, one row per stage (thumbnail, city name and number of days), easy to browse with your thumb.
Opening an item
Tap a card in the list to open the full-screen detail. Use the ← button at the top left to go back to the list.
Going back
Plan Trip navigation is tied to the browser history: every view you open (a section, the detail of a city, a day or an accommodation) is remembered, so you can step back one by one without leaving the app.
- Edge swipe / back button: on your phone, swipe from the left edge of the screen (or use the iOS Safari edge gesture, or the Android back button) to return to the previous view. Once you reach the first view, you go back to the Overview without leaving the app.
- ← button in the header: at the top left you find the ← button, shown whenever there is a previous view to go back to.
- ← button in details: the city, day and accommodation pages also have their own ← button to close the detail.
Switching trips on mobile
Tap the trip name in the header — a panel opens where you can select another trip, create a new one, rename or delete it, and manage the archive.
Map, theme and language
The header also includes the map icon (opens the full trip map), the light/dark theme toggle and the IT/EN switch. Tip edits keep working offline and sync in the background when you are back online.
Independently of cloud sync, you can export and import trip data as a JSON file — useful for backups or transferring data between browsers.
Export (Download JSON)
1
Desktop: open Data at the bottom of the navigation bar and click Download JSONA .json file is downloaded with all data from the active trip: cities, accommodations, days and tips.
2
Alternatively, in the Trips sectionEach trip has a Download JSON button to export its specific data.
3
Mobile: More menu → Data → Download JSONDownload works the same as on desktop.
Import (Upload JSON)
1
Click Upload JSONThe OS file picker opens. You'll find it in Data (desktop) or the More menu (mobile), or in the Trips section.
2
Select the previously exported JSON fileIf the trip has the same ID as an existing one, you can choose to overwrite it or import it as a new trip. Otherwise it is added as a new trip.
💡
The JSON file can be shared with others — whoever imports it will have a complete copy of the trip in their browser, without needing an account or sync.
The desktop version supports a few keyboard shortcuts to speed up navigation.
Ctrl+B
Show / hide the left navigation bar
Esc
Closes the full-screen map, or closes the open detail (day, accommodation, city)
